Medical equipment maintenance: a preventive plan for electric hospital beds

Good medical equipment maintenance starts before anything breaks, with a written preventive plan that tells every department what to check and when. Electric hospital beds are among the most heavily used devices on wards and in intensive care, because they work around the clock. This guide is for biomedical engineering, nursing and procurement teams. Why medical equipment maintenance needs a written plan

An electric bed combines a steel frame, actuators, control panels, cables, braked castors and side rails. A small fault in any of them, such as a cable trapped under the frame, a brake that does not hold firmly or a side rail that will not lock, is easy to catch with regular checks, but left unchecked it can take a bed out of service. A written plan makes responsibilities clear: what ward staff check every day, what biomedical engineering inspects periodically, and when the manufacturer's service team is called in.

Base the plan on each model's user manual and on your facility's biomedical engineering programme, because beds differ in what they do. A three-function PRIME care bed has different needs from a Santron ICU bed with Trendelenburg, cardiac chair positioning and central braking, or from the F5 bed with its rechargeable backup battery and nurse-side CPR control.

The daily ward check: a short list for nursing staff

The daily check is quick and needs no tools. At the start of a shift, or before a bed is prepared for a new patient, staff confirm that the brakes hold when the castors are locked, that the castors roll smoothly without unusual noise, that side rails lock and release properly, that the power cable is intact and not routed under the frame or through moving parts, and that the patient and nurse controls respond for every movement.

On beds with a backup battery, keep the bed plugged in whenever it is not being moved so the battery stays charged as the manual describes. Any finding, such as a grinding sound, a slow movement or an unresponsive button, is logged and reported to biomedical engineering. Ward staff should never open a control box or actuator themselves.

The periodic technical inspection: actuators, frame and controls

Periodic inspections are carried out by a biomedical technician or the service team, at intervals set by the model's manual and by how hard the bed is used: an ICU bed repositioned many times a day needs closer follow-up than a bed on a long-stay ward. The technician runs every movement to its end stop, checks the actuators for unusual noise under load, checks cable routing and connectors, and tightens fixings on the frame and the removable panels.

The inspection also tests central braking and directional lock where fitted, the lockout functions on the nurse panel and the CPR control where fitted. On the Santron Pro, the technician also tests the bed-exit alarm and low-position indicator and checks the integrated scale against the facility's calibration procedure.

Cleaning without damaging the electrics

Daily cleaning is part of maintenance, because liquids are one of the main threats to electrical components. Unplug the bed first, wipe surfaces with a damp cloth rather than a wet one, never spray directly onto actuators, the control box or keypads, and dry everything before reconnecting. Use the disinfectant your facility has approved, after confirming it suits the bed materials listed in the manual.

The ABS head and foot panels on PRIME care beds are removable, which makes them and the area behind them easier to clean. The Santron has a removable sleep surface for the same reason.

Records, warranty and spare parts

Give each bed its own maintenance log, with its serial number and location in the hospital, recording inspection dates, findings and parts replaced. The log makes repair-or-replace decisions easier and shortens every service visit.
